University Libraries Calendar for the 2007 Review Cycle

(Prepared by CACLS and the University Librarian)


Dates in bold represent dates on the Librarian Call to Review Calendar issued by the Vice Provost for Academic Personnel.

 Dec. 11 (Mon.) -
Jan. 31  (Wed.)

Initial review discussions between the Review Initiator and Candidate; the Candidate submits documentation, including all  required review forms to document candidacy status and to request external Letters of Reference as needed.  Review Initiator submits Request for Secondary Review form as needed.  A secondary review is usually for those librarians who have additional job responsibilities or functions outside their home department under the supervision of a designated individual other than their primary Review Initiator.

Jan. 5 (Fri.) The Review Initiator notifies the University Librarian of candidates requesting an out-of-cycle review.  Copy of request is sent to Library Personnel.
Jan. 15 (Mon.) Diversion from official calendar due to Libraries being closed for Holiday.
Jan. 16 (Tue.) Final date for Candidates and Review Initiators to submit Letter of  Reference Request and Secondary Review Request forms to Library Personnel Office.
Jan. 16 (Tue.) -
Jan 19 (Fri.)

Library Personnel requests letters of reference and notifies secondary reviewers.  A copy of each request for letters of reference and/or secondary reviews made by Library Personnel will be included in the candidate's file.

Jan. 31 (Wed.) Candidate requesting a deferral notifies the Review Initiator in writing by this date.  The Review Initiator forwards the written deferral request for review and endorsement by the Dept. Head, Division Head and /or Assistant/Associate University Librarian as applicable before submitting to the University Librarian.
Feb. 1 (Thu.) Final date for Review Initiator to transmit deferral and out-of-cycle review requests to University Librarian. Copy of request is sent to Library Personnel.  
Feb. 9 (Fri.) Deferral and out-of-cycle review requests due to the Academic Personnel Office from University Librarian for transmittal to the Vice Provost for Academic Personnel.
Feb. 9 (Fri.)  Deadline for all external letters of reference received by the Office of the University Librarian and transmitted to Library Personnel as well as secondary reviews received by Library Personnel for copies to be forwarded to Review Initiators for placement in Candidates' files.
Feb. 12 (Mon.) -
Feb. 13 (Tue.)
Library Personnel notifies references whose letters are outstanding to remind them that letters were due Feb. 9.  To be of use and included in the review initiator's evaluations, letters must be received by Feb. 21 (Wed.).
Feb. 12 (Mon.) -
Feb. 23 (Fri.)
Second meeting between the Review Initiator and the Candidate to discuss the written evaluation and recommendation.  Meetings may also occur between Candidates and the appropriate AUL(s) during this period as review files are completed and released by the Review Initiator.
Feb. 16 (Fri.) Academic Personnel notifies University Librarian of final action on deferral requests.
Feb. 21 (Wed.) Final deadline for letters of reference to be received by University Librarian and distributed by Library Personnel to Review Initiator for use in the evaluation and for inclusion in the Review Initiator's evaluation.
Feb. 23 (Fri.) Final deadline for Candidate to submit documentation to the Review Initiator
Feb. 27 (Tue.) Final deadline for Review Initiator to transmit any remaining Candidate files to next level (Division Head/AULThis should be the exception rather than the rule.)
Feb. 23 (Fri.) -
Mar. 9 (Fri.)
Division Heads and AULs complete reviews of applicable Candidates' files.  Meetings are held to discuss with and transmit to each applicable Candidate a signed copy of their respective evaluation results/recommendations.
Mar. 9 (Fri.) Library Personnel logs contents of files received from AULs/Division Heads before sending to University Librarian's Office.
March 9 (Fri.) The Review Initiator's and Assistant/Associate University Librarian's recommendations and the Candidate's complete file are due in the University Librarian's Office.
March 12 (Mon.) -
April 6 (Fri.)
The University Librarian completes review of Candidate files and meets with individual Candidates to review results of file assessment and the University Librarian's recommendation.
April 6 (Fri.)  The University Librarian's recommendations along with the review files are due in the Academic Personnel Office.  In extraordinary situations, a Candidate's file may not be completed by this date.  In those rare instances, the University Librarian will provide the completed portions of the file, a statement as to why the rest of the file is late, and an estimated date of completion.
May 11 (Fri.)  CACLS' recommendations are due to the Vice Provost for Academic Personnel.
May 25 (Fri.) -
June 8 (Fri.)
The Vice Provost for Academic Personnel's decisions are sent to the University Librarian.
May 31 (Thu.) -
June 15 (Fri.)
 
The University Librarian informs the Candidates of the decision.
July 1 (Sun.)  Salary increase begins for the successful candidate, based on the new rank and/or step.
Aug. 1 (Wed.) The candidate receives the first paycheck which reflects the new salary.

 

*****Note:   The University Librarian, the Chancellor's Advisory Committee on the Librarian Series (CACLS), and the Vice Provost for Academic Personnel feel no obligation to consider cases in which a librarian does not supply documents and information by the deadlines that have been set.
