Processing Books
1. Prior to beginning processing, make sure all copies of the book and any CD-ROMs that may accompany the book have been pulled from the stacks, placed on search, or recalled.
2. Affix colored tape around the bottom of the spine.

3. Find the class in the Reserve Database, and mark in the Notes section that the book was processed. For example: “Processed-12/01/06 (cr)”. Change the status of the book to Processed/Completed in the drop-down box labeled Status. |
***Please note: only change the status of an item to “Processed – Completed” and check “Received/Found” when all copies of the item have been placed on Reserve (including PER, CDs, and supplements within the same entry). Otherwise, simply indicate which copy of the book you have processed. For example: c.2 processd-12/01/06 (cr)***

4. In Millennium, search for the class under the Reserves tab. In the Course Record, click on Add Items (located at the center of the screen).

5. In the Place item/bib on reserve window, make sure that you are searching in the barcode index by selecting b BARCODE from the drop-down box in the center of the screen.
6. Scan the barcode of the item to be added. The bibliographic record for the barcode will appear, including any copies of the book or CD-ROMs.

7. The item matching the barcode will be highlighted. Select Add Selected Item(s) to attach the item(s). |

8. To attach additional items to the course, follow the above steps.
9. When all items have been placed on Reserve for the class, be sure to change the status in the reserves database under the staff checklist.
10. Desensitize the book before shelving.
11. Make sure that the book has been added in the correct order, using the Move function in the course record:

If the book is the main textbook for the class, it should appear at the top of the list of books on Reserve for the course. If you do not know which book is the main textbook, place all books in alphabetical order.

If multiple editions of the book are on Reserve, the most recent edition of the book should appear at the top, followed, in descending chronological order, by older editions.

For books with multiple copy numbers, copy 1 should be listed at the top, followed by other copies in ascending order.
- For books with multiple volumes or parts, v.1/pt.1 should be listed at the top, followed by other volumes/parts in ascending order.

If the book has both multiple volumes/parts and copies, list the same volume/part in copy number order, followed by all subsequent volumes/parts. For example:

Any guides/supplements/solutions manuals should be listed after the textbooks they are associated with, following the above guidelines in regards to copy number and volume/part. For example:

Any additional textbooks should be listed below the main textbook in alphabetical order by title, following the above guidelines for copy numbers, volume, etc.

All books should be listed above any notebooks or professor-submitted CDs (CDs not associated with a book).

For notebooks, personal copies of CD-ROMs, and electronic copy only items, move them in order according to the above guidelines, placing all such materials below textbooks in alphabetical order.
-
For PERS copies of books, list these separately, below the Library-owned copy of the book (if applicable), following the above guidelines.
