Transport of Cataloged Materials to Special Collections

Effective November 1, 2007, Cataloging will transport cataloged material to Special Collections. Previously, catalogers placed material in Preservation Services for transport. Linda Doran, Head of the Bibliographic Searching & Distribution Section, will coordinate sending material to Special Collections.

Catalogers will place Special Collection material on a designated truck (or shelf) in Cataloging.

Linda will count the material (number of volumes) to send and breakdown by:


  • Eaton
  • Special Collections (called "new" for Special Collections' count)

Type of material:

  • Book
  • Video
  • DVD
  • CD
  • Cassette
  • Any other non-book material or specific media type

If the material is a book with accompanying media, for example a book with DVD, the count would be: 1 book, 1 DVD

Linda will specify the count of the shipment on the UCR Library Transport form that stays with the material while being sent to Special Collections. The material is usually sent via Library Mail and is put in a mail tub (which will be wrapped in shrink wrap and packed with bubble wrap, as necessary) and placed on the flatbed truck in Science Receiving by 11:00 am for afternoon delivery. Shipments may be daily or as needed depending on amount of material to send.

When a rush book is sent to Special Collections, Linda will email Darian Daries, Special Collections, to indicate that a rush book is included in the afternoon shipment. If material is needed immediately in Special Collections, or especially valuable, or otherwise not suitable for transport in a mail bin or truck, then the material will be walked over to Special Collections with a UCR Library Transport form that indicates the total number of items being delivered.

On the first of each month, a count of all material, by type and location, will be sent by Linda Doran to Kit Rembert, Preservation Services, for maintaining Library statistics.
