Graduate Carrel Policy and Internal Procedures and Acceptance Agreement


These policies governing the use of Graduate Carrels in the UCR Libraries have been established in collaboration with the Graduate Division.

1.       Individual Graduate Carrels and Moby Carts are available by assignment to Ph.D. students in advanced candidacy (dissertation writing stage).

2.       The remaining Graduate Carrels are available by application to all UCR graduate students, to be shared on a first-come, first-served basis.

3.       Any remaining unassigned Moby Carts are available by application to all UCR graduate students.

All use of Graduate Carrels and Moby Carts is application based, and will be awarded based upon the merits of the justification and in accordance with all applicable guidelines for eligibility as indicated below.

Eligibility

Assignable Graduate Carrels/Moby Carts
Assignable Graduate Carrels and Moby Carts are available to Ph.D. candidates engaged in writing the dissertation within the following guidelines:

          Proof of advanced candidacy

          Engaged in writing the dissertation

          Must have current registration and tuition payment information

          Must have a library account in good standing

          Must be on application/eligibility list

 

Assignable moby cart only

Assignable Moby Carts are available to all graduate students within the following guidelines:

          Proof of candidacy

          Must have current registration and tuition payment information

          Must have a library account in good standing

          Must be on application/eligibility list

 

Unassigned graduate carrels

Unassigned Graduate Carrels all graduate students within the following guidelines:

          Proof of candidacy

          Must have current registration and tuition payment information

          Must have a library account in good standing

          Must be on application/eligibility list

 

Application Process

All graduate students will be e-mailed an application, or they may use the Graduate Carrel Application Form. The applications must be signed by the dissertation committee chair or the Director of Student Affairs of the Graduate School certifying certifying the academic status of the applicant. The application may be mailed or delivered personally to the Access Services Department/Circulation Desk of the Rivera Library. Each applicant will write a brief statement justifying the need for a carrel. The application will be evaluated by a joint committee with representation from the Graduate School and the Libraries to make a final decision on carrel assignment. There are 19 Graduate Carrels and 22 Moby Carts in the Rivera Library that are available. A review of carrel assignments will be made each quarter. We will also maintain a prioritized list of eligible applicants from each previous review period.

Assignment Duration

Assignments are made for four quarters to the nearest beginning of a quarter with the possibility of renewal for an additional two quarters provided the occupant continues to meet all eligibility criteria. There is no guarantee of an extension. Graduate Carrels and Moby Carts may not normally be assigned for more than 6 consecutive quarters.

Carrel Use Policies and Guidelines

  1. Assignments will be made according to a waiting list kept in chronological order.

  2. Carrel eligibility lists will be updated quarterly, based upon the applications received.

  3. Students approved for carrel/moby assignments will be notified by e-mail and must make an appointment with the Carrel Coordinator to pick up assigned keys and/or sign the Graduate Carrel Agreement.

  4. Library materials kept in the carrel and/or locked moby must be checked out to the occupant and are subject to all Library policies and guidelines. Materials not checked out will be removed from the carrel and moby and re-shelved. Library staff inspects graduate carrels regularly. Failure to comply to the policies and guidelines may result in forfeiture of the carrel.

  5. The UCR Libraries is not responsible for theft and/or damage to personal or library materials in the carrels or the mobys. Items should not be left unattended on the carrels.

  6. Unless eligible for renewal, the carrel and/or moby must be vacated by the end of the carrel assignment (the last day of classes of the assigned quarter). All library and personal materials should be removed from the carrel and/or moby by the occupant and carrel keys should be turned in to the Circulation Services Desk of the Rivera Library by the end of the last day of the assignment. Carrels and/or mobys will be inspected for damage and any relevant damage charges when keys are turned in. If damage has occurred to a carrel, the cost to the holder of the carrel will be determined based upon cost of the repair(s).

  7. If the key is not surrendered by the date specified in the written notification, materials will be removed, the lock changed, and the carrel holder billed for the locksmith's charges.

  8. The loss of keys to a carrel or lock replacement will result in lock/key replacement charges in accordance with the schedule on the carrel contract.

  9. Near the end of the carrel assignment and in response to the call for carrel applications, individuals may submit a renewal application to be considered for another assignment.There is no guarantee to be considered for another assignment or extension.

Billing Schedule

  • Key replacement: $2.00 per key
  • Key and lock replacement: $26.00 per carrel/moby.
  • Damage to carrel and or moby: to be determined based upon repair costs
