Scanning Material for E-Reserves

In Adobe

  1. Open Adobe Acrobat.

  2. Once Adobe is open, select Create PDF from the toolbar.

  3. In the drop-down box, select from Scanner.

  4. The Adobe Acrobat settings box will appear.  Use this window to adjust the settings based on the scanning job you are doing.  Most settings will be as follows:
      • Device: (should be the name of the scanner where you are working)
      • Sides: Single or Double-sided as needed
      • Color: black and white
      • DPI: 300
      • Output: Open new PDF document
      • Document - Optimization: bar should be in the middle
      • OCR/Text recognition: do not check this box
  1. When the settings are correct, hit Scan.  When prompted to save, you must save all documents in the Access shared drive under reserves.  Save the files in the correct class folder for the correct quarter.  Make new folders as necessary. 
  2. When scanning is finished for all of the pages in the ADF, a box will appear to allow you to scan another page. Select Scanning complete if finished.
  3. Check to make sure that all pages have scanned correctly and that they are legible.  Crop pages to remove dark margins in photocopies as needed.

     

In Millennium

  1. Create a bibliogrpahic-item following procedures for Keying a Bibliographic Item Record - Electronic Copy Only

  2. In the bib/item record you created, select Media from the upper-right screen.  This is the icon with four blue diamonds.

  3. The Media Manager window will appear. 
      • If no scanned articles have been attached to the item, a window on the right half of the screen will appear, with the Add Media Set box in the upper-left corner.
      • If there are scanned articles attached to the item, the Media Set Description window will appear.  To add a media set/article in this mode, click on Media Manager in the left side of the screen (an icon with a blue file folder).
  1. Click on Add Media Set.  The Media Set Description window will appear with default settings.  

  2. In the Media Set Description window, change the title of the article as appropriate.  For Example:  HOMEWORK #1


  3. Leave all other settings at 000 (publisher code) or $0.00.

  4. When the settings are correct, select Import File from the bottom of the screen.  Search for the file in the Open box, and click Open after selecting the file.  This will attach the scanned article/PDF file to the item record.  If you cannot locate the file, try saving it to your desktop and repeat as above.

  5. When finished, select Save (the icon with a floppy disk) from the top of the screen.

  6. Select Close to finish.

 

In Reserves Database

  1. If the item is Electronic Copy Only or the materials were uploaded to the database by the professor/TA, please refer to “Procedures for E-Reserve Requests.”

  2. Select the appropriate quarter from the drop-down box and click View Requests.

  3. Click on Manage Photocopy Reserve Requests, then click on Edit Request next to the appropriate item.

  4. Change the status to Completed in the drop-down box marked Status.

  5. In the Requests Notes section, type “Processed.-12/1/07 (cr)” to indicate that you have completed processing for the item.

     
  6. When finished, click Update.
  7. Mark statistics as appropriate.  For Rivera E-Reserves, open the "E-Reserves statistics" excel file in the reserves shared drive for the current month.  Add the article title, course, and number of pages scanned.  Enter "0" if the file was uploaded electronically.
